Identifying paper records for transfer

Records and information should be selected for transfer based on their business need, business value now and over time, as well as potential historical value. If the transferring organisation has an Information Asset Register (IAR), disposal or What to Keep schedules, an Appraisal Report, or an Operational Selection Policy these should be used to help with the selection of the relevant records and information to be transferred.

Identify relevant records for transfer including:

  • vital records – these should be identified using business Information Asset Registers (IARs) as well as business continuity and disaster plans
  • current records
  • semi-current and non-current records
  • records in onsite and offsite storage
  • any registered or unregistered records not stored centrally

If the transferring organisation is part-way through reviewing or preparing records for transfer to The National Archives, they should complete this work before transfer.
