Please could you provide me with information about your organisation’s ICT expenditure as detailed in the attached template. I have tried to find this information in your organisation’s published data, but was unable to find the level detail I require.
Within the response, please include:
– Expenditure from all parts of your organisation (centralised IT and departmental IT);
– As well as your own organisation, expenditure for any subsidiary organisations that fall within the scope of your accounts; and,
– Both revenue (or operating) expenditure and capital expenditure.
If you could input the answers in this template and return to me by email as an attachment, this would be much appreciated. Please return the information in the template as an Excel (.xlsx) file – not in another format (e.g. PDF).
Section 12 – Cost Limits
We have determined that we will not be able to answer your request because to do so would exceed the cost limit provision under section 12 of the Act. Section 12 (1) of the Act, makes provision for public authorities to refuse requests for information where the cost of dealing with them would exceed the appropriate limit, which for The National Archives (as a central government department) is set at £600. This equates to 25 hours staff time (or one person spending three and a half working days) on determining whether the department holds the information and then locating, retrieving and extracting the information.
We estimate that it will take us in excess of this to identify the appropriate information, and locate, retrieve and extract it in response to your request. This is because we do not hold the information you have requested on specific spending areas categorised by the definitions you have adopted. To retrieve the information you have specified in accordance with your definitions, it would require significant work by multiple business areas to search through transactions line by line to identify and determine these figures. This is not possible within the cost limit and, therefore, we will not be processing your request any further.
Section 16 – Advice and Assistance
If you were to refine your request, we may be able to provide further assistance. For example, you could try reducing the scope of your request to a specific item or contract that you are interested in, rather than requesting information across a series of services and procurements, defined by multiple but very specific categories, which are not used in this way by the organisation. Although, we are unable to guarantee that any refined requests would fall within the cost limit.
